How to reconcile M-Pesa paybill payments to your tenants
Matching a phone full of M-Pesa confirmations to the right tenant is the job that quietly eats landlords’ Sundays. Here is how to do it cleanly — by hand first, then automatically.
Why it’s harder than it looks
Your Paybill statement is a long list of names and amounts. Your rent roll is a list of units and what they owe. Nothing automatically links the two: “Jane W. paid 25,000” doesn’t say which unit Jane rents, whether 25,000 is her full rent, or whether she’s now ahead or still behind. Multiply that by 24 units and a few partial payments and you have the classic Sunday-morning cross-referencing exercise.
Method 1: reconciling by hand
- Pull the statement. Get your M-Pesa Paybill statement for the period (via the portal or your M-Pesa Business app).
- Sort by account reference. If tenants entered their unit number as the account, sort by it so each unit’s payments group together.
- Match against the rent roll. Tick off each unit that paid its full rent. Flag anything that’s short, missing, or paid twice.
- Record it. Update your ledger or spreadsheet, and note the arrears.
Where it breaks
- Wrong or missing references. Tenants forget the account number, mistype it, or pay from a relative’s phone — now the payment doesn’t match anyone.
- Partial payments. Half now, half later — easy to miss that a unit is still short.
- Timing. A payment made at 11:58pm lands in a different month than you expect.
- Volume. It scales badly — 6 units is fine, 60 is a job.
Fix the inputs first
Most reconciliation pain is really a reference problem. Before automating anything:
- Give every unit a fixed account number and never change it.
- Print it on the invoice and the lease.
- Send a monthly reminder that includes the Paybill and the unit’s account number.
Clean references turn reconciliation from detective work into ticking a list.
Method 2: let software do it
Once references are clean, matching is mechanical — which means software does it in seconds and never gets bored. A property system connected to your Paybill will:
- Auto-match each incoming payment to the right unit by reference;
- Surface anything it can’t match, so you fix it in one place;
- Track partials and running balances, and keep a live arrears list;
- Roll it all into a rent roll and P&L you can trust at month-end.
